Does ClearReport file the report with the state for me?
No — and we say this loudly on every form. ClearReport helps you prepare, review, and document LIC 624, LIC 624A, and SOC 341 reports. You (or your staff) still file with Community Care Licensing, APS, law enforcement, or the ombudsman by the required method and deadline. Your mandated-reporter duties are never transferred to us.
Who can see a report inside my organization?
Caregivers (workers) see only reports they wrote plus approved reports. Facility admins see everything at their assigned facilities. Organization admins see everything in the organization. Every access role is enforced server-side, and every approval, edit, export, and deletion is written to a tamper-evident audit log you can view in the app.
Does the AI see our residents' data? Does it train on it?
The AI review reads the report being reviewed — that's how it catches liability language — via Anthropic's Claude, which does not train on customer data under our commercial agreement. We do not build a similarity or learning index from your reports today. Our full vendor list is public on our subprocessors page.
What happens if the AI is down — can we still file?
Yes, always. AI review is an assist, never a gate: if the AI is unavailable, the writing check falls back to built-in rules and your staff can complete and submit reports normally. Deadlines are tracked independently of the AI.
What if a staff member leaves?
An admin removes them from the Team page — their access ends immediately, and every report they wrote stays with the facility, with their name preserved in the record and audit trail.
Can we get our data out if we cancel?
Yes. Reports export as state-form PDFs, statistics export as CSV, and you can request a complete export of your data — exports remain available per our Terms. We never hold records hostage.
How is pricing determined?
Per facility, by licensed capacity: 6–16 beds $49/mo, 17–49 $149/mo, 50+ $249/mo. When you enter your license number we pre-fill the licensed capacity straight from California's public licensing data. Your first facility includes a 30-day free trial.
Do you sign BAAs?
Not at this time. RCFEs are generally not HIPAA covered entities, so a BAA usually isn't required to use ClearReport. We don't hold ourselves out as a HIPAA Business Associate today. If your organization is a covered entity — for example you also run a skilled-nursing facility — email contact@skdaddle.com before purchasing and we'll tell you honestly whether we fit your compliance requirements.
